MINUTES OF MEETING OF HOGSTHORPE PLAYING FIELDS COMMITTEE 
 HELD ON TUESDAY 4th June 2025

1. Present: Ellen Smith (Chairman) Diane Hanson Matthew West, Fran Wilson, & Kath Hayes (Secretary).   Greg and Joyce Ainsworth were welcomed onto the Committee

2. Apologies:    Dani Ellis

3. Minutes of meeting   Minutes of 7th April 2025 were approved and signed.

4. Finance
a) Current balance at bank showed  a balance of £2656
b) Forms for change of mandate had been completed but there was some complication with email addresses.  KH to re-do again.
c) A BACS payment system had not yet been organised – ES & KH to organise. 
d) Cheques were signed for £93.53 to WAVE and £17.58 to Diane Hanson for purchase of  locks
e) KH confirmed that the report to Charity Commission had been submitted.

5. Car Boots
a) ES reported that Car boots both traders and footfall were doing very well.

6. Maintenance
a) There were still items in the changing rooms which needed clearing which would be removed out to the shed after it had been cleared.
b) GA, together with ES agreed to look into and clear the shed.
c) KH would contact ELDC to ascertain if they were responsible for the Playing Field sign.
d) Spotlights – it was agreed that unless there was a football team that wished to use the field, the spotlights would not be replaced.
e) GA would look at replacing the broken window at the changing rooms
f) GA also brought the committee’s attention to the badly leaning kissing gate at the end of the public footpath – KH to check whose responsibility it is.
g) GA also stated that the resin on the playpark was lifting and needed fixing urgently.  KH to contact original contractor.

7. Risk assessments in changing rooms.
PAT testing of electrical equipment in changing rooms is still required.  MW to chase up.  ES still to contact Hallgate to get fire extinguishers checked.

8. Facebook page
ES informed the committee that the new facebook was now set up under Hogsthorpe Playing Field which was open to the public.

9. Future plans
a) It was agreed that the Picnic in the Park would not go ahead for this year as there was too little time to organise it.  A date for next year would be organised and a date fixed when the Chapel St Leonards carnival was known
b) KH brought the attention to the committee that Dani had put in a grant request from Grassroots for purchase of a zip wire, a sensory garden and a covered seating area.    It had been queried whether this fitted to the criteria for the Hogsthorpe Memorial Recreation as opposed to the Parish Council.  She was also waiting for documentation from KH.

10. Date of next meeting
Next meeting was set for Wednesday 2nd July at 5 p.m.
