MINUTES OF MEETING OF HOGSTHORPE PLAYING FIELDS COMMITTEE
HELD ON TUESDAY 7th May 2025
1. Present: Ellen Smith (Chairman) Diane Hanson Matthew West, Fran Wilson, & Kath Hayes (Secretary). KH welcomed Dani Ellis onto the committee.
2. Apologies: None
3. Minutes of meeting Minutes of 2nd April 2025 were approved and signed.
4. Finance
a) Current balance at bank showed a balance of £5505
b) It was agreed that a BACS payment arrangement be set up with the bank – ES & KH or organise. Another signatory is required. KH to check with bank.
c) Payment had been made by Direct Debit of £32.91, other cheques signed were £729.98 to Hogstrhorpe Parish Council for prepayment to EWS for playpark painting & tidying, £62 to Diane Hanson for purchases on behalf of the playpark and £2254.20 to Fenland for Playpark repair.
5. Car Boots
a) ES reported that Car boots were doing very well.
b) Discussion took place on what signage was required – ES, MW and DH looking into what is required. It is necessary that the signage pointing towards the village hall required turning round and the playing field sign to be again attached to a pole outside the village hall – KH to check with ELDC. Further professional signage for car boot be purchased. Village hall sign was not visible enough – ES to speak to committee.
6. Maintenance
a) Playpark equipment repairs – completed
b) Painting of the equipment - completed
c) Removal of equipment behind changing rooms – completed. MW to get rid of bin and twigs.
d) It was not deemed necessary to arrange a further playpark cleaning up day as this is now much tidier than before.
e) The changing rooms still had items which needed clearing. KH to check with situation regarding putting up speeding signs again. Various car boot stock is being kept in the changing rooms – it was agreed to clear the shed at the back of the changing rooms to store these items and, if necessary, purchase a new additional shed. It was agreed to leave the freezer in place.
7. Risk assessments in changing rooms.
PAT testing of electrical equipment in changing rooms is required and including an electrical survey of showers (which appeared to have no hot water) and lighting to ensure everything meets the legal requirements. MW to arrange for this to be done with a qualified electrician.
8. CCTV
The CCTV equipment appeared to retain images for only 24 hours (KH thought it should record for one week). It was believed that this equipment is old and needs replacing. (KH note – it was renewed late 2019 but cannot find documentation). It is also a problem that the current cameras do not pick up enough and is blocked by the trees. ES to check into what wi-fi is available with the village hall.
9. Facebook page
The current facebook page is under the Hogsthorpe Memorial Recreation and Playing Fields. This is rather obscure when looking on the internet for the Playing fields. DE had done some work on setting up a new facebook under Hogsthorpe Playpark with a new logo and showed a mock-up of what was proposed. ES did not agree with setting up a new facebook and believed that the current page could be re-named. However this is a private page and will need to be a public page which anyone can access. The decision is left over for further discussion at a future meeting.
10. Future plans
It was agreed that this needed in depth discussion at a future meeting to include what should be done with the area behind the changing rooms, future events, equipment required and possible grants. DE was doing a sterling job with research into equipment and possible grants.
DE has been looking into possible equipment and grants – KH passed over information on adult gym equipment.
11. Date of next meeting
Next meeting was set for Wednesday 4th June at 5.00 p.m. before commencement of the Parish Council meeting.
