Minutes Of Meeting Of Hogsthorpe Playing Fields Committee Held On Wednesday 6th November 2019

 

Present:

Committee: V Worley(Chairman) K Hayes (Secretary) E Carter, M Culley, L Wildman, P Smith, A Green

Others: Cllr B Hornby, Cllr M Banks & 2 members of the public

 

1. Minutes of meeting of 2nd October 2019 were approved and signed by V Worley.

 

2. Report from Secretary/Treasurer

a) Accounts were unchanged for the month.

b) Payment of accounts was approved for £99.60 for fire extinguishers.

 

3. Maintenance

a) Signage. Change of contact details– EC has this in hand. Not yet sourced Playing Field street sign - KH

b) Fire Extinguisher is now in place and fully compliant.

c) Play park inspection – KH believes that this has been carried out but no report received yet.

 

4. CCTV

LW now understands how to access the images as there was an incident with grafitti on the village hall wall and police had checked images with LW.

The Policy and Procedure is now in place (to be circulated to all committee – KH) and the log book of when the images are viewed being put in Changing Rooms.

 

5. Grants update

Unfortunately, we have been unsuccessful with the application to Grantscape for the picnic area and terrace. Can apply again but not until July of next year with decision in October. KH would try and find another source. The application for adult outdoor gym at a cost of £13,000 has been submitted to the Community Asset Fund (Lottery). We are not sure when we will get an answer.

 

6. Planning of Fundraising Events

It was agreed that a meeting would be held at the Old Post Office at 1pm on the 18th November to start arrangements for the Summer Fete on 27th June 2020. KH will have a look at possible sources of funding to make the event bigger.

 

7. Football

KH had been in contact with a new resident in the village who is part of the committee for Alford Football Club who. She is waiting for him to contact now that he has returned from holiday. She would also try the school now that a new Headmistress was installed to see if there was any interest in setting up a juniot football team.

 

8. Newsletter articles

KH will put together an article about the playpark – send to VW and EC.

 

9. Fundraising Strategy

The cost of utilities and rates was a total of £645. This together with an estimate of maintenance of £355 would mean that an amount of £1000 per annum needs to be raised to keep the playpark self-sufficient.

Next meeting was set for 4th December 2019 at 6.00 pm.
