MINUTES OF MEETING OF HOGSTHORPE PLAYING FIELDS COMMITTEE

 HELD ON TUESDAY 5th FEBRUARY 2025

Apologies:     There were no apologies but it was believed that the Chairman was ill.

 

Not having had a quorate meeting since November, it was agreed that some decisions could not wait to be approved – an email confirmation of the events would be sent to the Chairman.

 

  1. Minutes of meeting   There were no Minutes to sign as no meeting was held in December.

 

  1. Finance

The financial statement to the end of December 2024 showing a bank balance of £4557 had been circulated.

There were no payments of accounts but the direct debit for electricity of £42.93 for January had been paid.

 

  1. Car Boots

As the Chairman was not present, it was not known when the car boot sales would begin again or what signage was being arranged.

 

  1. Maintenance
  1. Playpark equipment repairs – Quotes had been received from Sovereign Play for a 5-year twice yearly inspection at a cost of £399; the quote from Online Playgrounds for £2506 still stood and they had also sent a quote for parts only of £1423.  No other quotes were forthcoming.  It was agreed that the Sovereign quote would be investigated when the inspection was due.  It was thought the quote for parts only could not be taken up as it would need a qualified properly insured contractor to undertake the work.   It was, therefore, agreed that Online Playground be contacted to go ahead with the work with their qualified maintenance team as per their quote of £2506. This would be mitigated by a District Councillor grant – see item 7.
  2. Repairs to the groundwork was part of the quote from Online Playgrounds
  3. Other maintenance work could not be confirmed in the absence of the chairman – to be carried over until the March meeting but it was agreed that the repairs and the painting of the equipment should be carried out prior to the Easter holidays.
  4. The clerk presented an inspection checklist taken from a web site.  She would put this into a form for monthly inspections to be carried out.

 

  1. Grants

A grant of £1000 had been requested from Cllr Evans from the District Councillor fund for repairs to the playpark equipment.   When confirmation is received, the go-ahead for the repairs would be given.

 

  1. Future plans

It was thought imperative that the number of committee members needed to be increased – clerk to put together a circulation asking for volunteers for each householder.

 

  1. Date of next meeting

Next meeting was set for Wednesday 5th March 2025 at 5.00 p.m. before commencement of the Parish Council meeting.
