MINUTES OF MEETING OF HOGSTHORPE PLAYING FIELDS COMMITTEE HELD ON THURSDAY 2 SEPTEMBER 2021 AT HOGSTHORPE VILLAGE HALL

Present: 

Committee:      K Bingham (acting Chair) M Culley, P Smith, A Stubbs and K Stafford (Secretary). 

Others:     Cllrs M Banks, T Smith, A Green, J Midgley

1.    Chairman’s Welcome – Kay Bingham introduced herself and welcomed everyone to the meeting.

2.    Apologies – No apologies had been received

3.    To approve Minutes of the last meeting of May 2021 – The minutes were approved.

4.    Finance

i    Payment of accounts  - agreed as follows:

1    June – electric £23.01

2    July – electric £22.38

3    August – grasscutting £360.00

ii    Receive accounts up to 30 June 2021 - approved

5.    To consider complaint about damaged driveway to the side of the village hall – A long discussion took place over fundraising for the playing fields.  K Bingham suggested approaching the school to see if they were prepared to pay towards the costs as it was largely used by the school.  K Bingham suggested a barrier and pay system might be a way of raising funds towards the upkeep.  Cllr P Smith priced up tarmac at £6.68 per sack but no-one stepped forward to carry out the work. Cllr Culley offered to approach an individual to carry out the repair.  

6.    Complaints about the standard of grasscutting and strimming of the playing fields and the need to cut back some trees – Cllr P Smith stated he had tried to strim it himself but his electric strimmer was not up to the job. 

7.    To obtain tenders and apply for funding for levelling football pitch and picnic area including removal of tree stumps – K Bingham to ask Scott Walker for the quotes in order to look at funding possibilities.  K Stafford to look our for possible funding opportunities.  Cllr T Smith suggested a user should be found before applying for funding.

8.    Draw up Weekly Inspection Record for the Playpark  - It was agreed K Bingham and K Stafford would meet separately to draft a weekly inspection record

9.    Agree rota days for daily inspections of the playpark – K Bingham, J Midgley, M Culley, K Stafford and Simon on behalf of A Stubbs volunteered to carry out daily inspections of the playing fields.  K Bingham to draw up a daily rota.

10.    Next meeting  -  6pm in the village hall prior to the Parish Council meeting in October for whichever date is agreed in the Parish Council meeting to follow.
